Operations & Finance Committee

Charter: To provide assistance wherever needed to optimize the performance of the club and its members.

  • Duties:
    • Maintain written club documents
    • Lead fundraising activities
    • Coordinate with regional clubs to socialize and publicize
    • Coordinate awards and recognition honors to members, sponsors, donors, etc.
    • Work with Treasurer to keep accounts on track
    • Create temporary subcommittees
      • Budget
      • Bylaw Revisions
    • Assist other committees as needed
    • Create and submit a monthly report to the Board prior to the scheduled Board Meeting

Membership Outreach Committee

Charter: To select programs that will be enjoyable for current members and attract new members.

  • Duties
    • Maintain member records
    • Update member roster and distribute to members as needed
    • Organize excellent programs to educate and entertain
    • Submit an annual budget for approval prior to the new session
    • Submit a proposed calendar of events prior to the new session
    • Maintain a supply of membership applications at the clubhouse
    • Manage member dues
      • Collect payments and deliver to Treasurer
      • Copy contact and payment information to the Corresponding Secretary
    • Maintain the Free Rental Program
    • Create temporary subcommittees for specific events
    • Create and submit a monthly report to the Board prior to the scheduled Board Meeting

Preservation Committee

Charter: To maintain and enhance the club’s historical resources.

  • Duties:
    • Record all club activities, events, media excerpts and create an annual memorabilia magazine or similar
    • Record and maintain all Board Minutes and Member Minutes
    • Maintain clubhouse supplies
    • Coordinate maintenance and repairs as needed for the building and grounds
    • Submit budget request for any projects over $500
    • Create temporary subcommittees to handle specific projects
      • Landscaping and Beautification Project
    • Create and submit a monthly report to the Board prior to the scheduled Board Meeting

San Jose Clubhouse Committee

Charter: To maintain, operate and market the club’s major revenue source and preserve a positive connection with the community.

  • Board Members
    • Treasurer
  • Duties:
    • Submit an annual budget for approval
    • Coordinate with Rental Hostess, Rental Coordinator, Communications Manager, and Treasurer to obtain, maintain and communicate with renters
    • Market and publicize using social media and other marketing materials
    • Maintain contracts, contact and communication with subcontractors
    • Update and revise Rental Handbook as needed
    • Create and submit a monthly report to the Board prior to the scheduled Board Meeting
